Participants in Aranca Research Projects
Background
Aranca conducts business or investment related research and analytics projects on behalf of our clients. These projects collect data for research purposes only and the information gathered is not used for marketing or sales. The details you provide are used for aggregated analysis – that is, responses are pooled with those of other survey participants and are reported anonymously.
In some cases, we may ask for your explicit permission to share your personal data and responses with a third party in digital (data file), audio or some other format. You are under no obligation to agree to this and you will always be informed who these third parties are (usually the survey sponsor).
Why have I been asked to participate in a survey from Aranca?
Aranca conducts surveys for a variety of purposes. Accordingly, our lawful basis for approaching you to participate in a survey will depend on the study. The various lawful bases for inviting you to a research study are described below:

- Contract: We may ask you to participate in a study due to a contract or similar business relationship that exists between you / your organization and our client. In these cases, Aranca has been appointed as an independent market research agency that is authorised to carry out the study.
- Consent: You may be invited to a Aranca survey via a third party. In these cases you will have consented to participate in research studies from market research companies such as Aranca.
If you wish to withdraw consent, or enforce other rights relating to your personal data, you should approach the relevant third-party organization. This is usually the company that initially invited you to the study by e-mail, telephone or social media.
At all times, we work to partner only with third parties that maintain high standards for compliance and privacy.
What personal data do we collect in surveys and what do we do with it after collection?
Your cooperation in any such study is voluntary and you may withdraw from participating at any time. Personal data will only be recorded if you consent to this. During the course of a survey we may ask you to provide information such as:
- Contact information that allows us to verify or validate any answers you provide, including for internal quality control procedures.
- Demographic or firmographic information about you or the organisation for which you work.
- Extended (open-ended) information that helps to provide context for your survey responses – for example, the nature of a complaint that has arisen while using our clients’ products or services.

- We have your express consent to share the information with a research sponsor for a specified and limited purpose (e.g. to resolve a customer service problem);
- We need to share this information to provide you with information you have specifically requested;
- We need to respond to court orders or the requests of law enforcement agencies;
- We retain a third party to provide us with services, subject to that third party being able to comply with relevant legal requirements and obligations regarding the use of personal data;
- How long do we retain your personal data related to market research surveys?
- We will retain your personal data as long as is required to complete the task it was collected for, or as long as there is some other legitimate reason to do so. After this, your personal data will be made anonymous or deleted.
Incentives for participation in research studies
Some projects may include an incentive for taking part. These incentives will be processed by Aranca staff. Incentives will usually be in the form of a gift voucher or charitable donation.
Incentives will only be awarded if a survey or research activity is fully completed.
Please allow up to 4 weeks from participation for receipt of an incentive. If you do not receive your incentive after 4 weeks, please contact info@aranca.com.
Opt-out of e-mail communications
You may opt-out of receiving electronic communications from us at any time. Clicking on an unsubscribe link within any relevant communication will allow you to complete this process.
When you opt out of communications for the purposes of conducting customer surveys, it may be necessary to share this information with survey sponsors or other third parties in order that this request is fulfilled in future.
Where do we store your personal data?
Your data will be stored and processed in multiple countries including outside of the European Union (EU) Region
Since we are an international company, your data will be processed outside of the EU region. Some countries where we process data may not have as protective laws as your own country and there are risks associated with such transfer.
Aranca offers European Union Model Clauses, also known as Standard Contractual Clauses, to meet the adequacy and security requirements for our Customers that operate in the European Union, and other international transfers of Customer Data. These clauses are contractual commitments between parties transferring personal data (for example, between Aranca and its Clients, suppliers or data processors outside the EU), binding them to protect the privacy and security of the data.
In all cases, data will only be accessible to Aranca and its group companies. No personal data is shared with third parties unless express consent is provided.
Information submitted to us will be stored on our servers or those of approved and verified third party service providers. At all times, we will use reasonable and appropriate security measures to protect Personal Data from loss, misuse, unauthorized access, disclosure, alteration and destruction.
How long do we keep your personal information?
We will retain your personal information for as long as is needed to fulfil the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements).
- Customer Data - We retain your information for as long as you have an active agreement. We may also retain your personal information for extended period under applicable statutory laws.
- Research Data - We retain your information for as long as necessary for the purposes that we have described in this privacy policy
Aranca will retain Customer & Research Data in accordance with a Customer’s instructions, including any applicable terms in the Customer Agreement and as required by applicable law. When you decide to terminate agreement with Aranca, we delete all personal information about you except when it is required for legal obligations. Aranca may retain Other Information pertaining to you for as long as necessary for the purposes described in this Privacy Policy.
Security Measures to Protect your Data

We implement security controls to prevent breaches and unauthorised access to your data.
We maintain reasonable and appropriate security measures to protect Customer Data from loss, misuse, and unauthorized access, disclosure, alteration, and destruction.
Examples of security measures include physical access controls, HTTPS, restricted access to data, monitoring for threats and vulnerabilities etc.
We also subject our services to internationally recognised certification and attestation standards. Aranca is an ISO 27001:2013 certified company.
Users under 16 years of age
The Sites and Services do not knowingly collect personal information from users under the age of 16
If you are under the age of 16, you are not permitted to use the Sites and Services or to disclose Personal Information. If we learn we have collected or received Personal Information from a child under 16, we will delete that information. If you believe we might have any information from or about a child under 16, please contact us.

Aranca tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously.
